Everyone expected Events teams to embrace a bunch of specialized AI tools for all the event-related jobs. What I didn’t expect was this much consolidation around a single winner: ChatGPT.
Sure, there are other tools folks are excited about (Clay, Claude, Lovable), but they’re rarely described as critical. In the latest MKT1 survey ChatGPT ranked as the #1 most essential tool in their stack, followed closely by HubSpot at #2.
That made me wonder: what exactly are events teams doing with ChatGPT that makes it so indispensable?
So, I asked the industry's folks to share their favorite use cases. The responses were way better than I expected. You’re doing everything from researching to find event platforms, Registration, Content and Image, Videos, Agenda setting and Venue planning, data, badge design, automating messaging audits, and spinning up localized content across multiple languages.
In this newsletter we wanted to share some of the best examples along with step-by-step instructions for reproducing them yourself. They’re addressed by every step and function and complexity. Let’s get into it.

Use case #1: Platform research
Complexity: Beginner

“I've spent most of my career catering to technical practitioners and have less experience finding our event registration platforms for companies that execute large events and conferences. I wanted to see if a conversation with ChatGPT could help close some of the gaps for me.”

Imagine you are a event executive at a larger public company. Your team is using an older event registration software stack with technologies like [Competitor 1], [Competitor 2] and [Competitor 3]. How are you thinking about modernizing your data stack to handle event registrations? What are you using to learn about your registration?
I think these suggestions are more in line with how an IC Event executive would keep up with news. Can you push a bit to see what other learning paths exist for these Leaders in the events industry?
I would love to construct these insights into an adoption map that I can use at my Company. Can you build me an adoption map that goes from awareness to consideration to purchase and help me identify all the problems and challenges?
Use Case #2: Building an Adoption Map for Stakeholders

Once Maya had a clearer picture of her platform options, she turned to ChatGPT again. This time to help build internal alignment and stakeholder buy-in.
The goal? Construct a usable adoption journey map to present to leadership and cross-functional teams.

Can you help me build an internal adoption map for choosing a new event registration platform? Start with Awareness → Consideration → Evaluation → Purchase. For each stage, list the common pain points, questions leadership asks, and ways to overcome resistance from teams like Finance, IT, and Marketing.
This helped her create a slide-worthy framework that clarified decision-making and preemptively addressed internal objections.
Use Case #3: Registration Flow Copy & Messaging
Complexity: Beginner
Designing a smooth registration experience isn’t just about choosing the right tool; it’s about writing the right copy. That includes form instructions, error messages, call-to-action buttons, confirmation emails, and reminder texts.
ChatGPT can help you spin up friendly, on-brand messaging in seconds.
Prompt example:
Write clean, friendly microcopy for a tech conference registration form. The audience is developers and product managers. Keep it short, avoid buzzwords, and include: welcome blurb, form instructions, button copy, confirmation message, and error messages.
This can help you test multiple tone variations before finalizing, especially if you’re working across different audience segments (executives vs. engineers, for instance).
Use Case #4: Multilingual Registration Content
Complexity: Beginner–Intermediate
When you're running international events, spinning up region-specific registration pages in local languages can take weeks. But with ChatGPT, you can get surprisingly good drafts in minutes.
Prompt example:
Translate this registration landing page into Japanese. Keep the tone professional but approachable, suitable for an enterprise tech audience. Maintain formatting, CTA structure, and line breaks.
Want to go a step further? Ask ChatGPT to adjust tone and style:
Now rephrase it for a consumer tech audience in Southeast Asia. Make it sound more casual, less corporate.
Final drafts should always be reviewed by native speakers, but using GPT as a starting point can dramatically speed up content production.

The reason ChatGPT is catching on so fast in the events world isn’t because it’s flashy. It’s because it’s practical. It fits into the existing workflows of events professionals and gives you leverage across planning, content, comms, and logistics.
